The register of outgoing letters is a mandatory document. The rules for its compilation are established by the Russian Post and are reflected in the form of f.103. This document is required when sending even a small batch of letters.
Instructions
Step 1
Create a preamble for your document. This part of the register should contain information about the sender, that is, the name of your company, its legal form in abbreviated form, the last name, first name and patronymic of the head of the company in which you work. Also, indicate the date the document was compiled.
Step 2
Proceed to filling out the main part of the document, which consists of a table. The tabular section should contain the following columns: record serial number, to whom, postal code, letter / notification, mail mark. The first column is simple to fill: just put down the end-to-end numbering of all records in the table. The last number should match the number of emails you send. In the second column, you will write down the data of the addressees of your enterprise: the names of legal entities or the surnames, names and patronymics of individuals. Be sure to fill in the third column. To do this, first find out not only the address of the person to whom the correspondence should be sent, but also his postal code. Without specifying the index, the post office has the right not to accept the letter. In the next column, indicate the type of correspondence you want to send. You do not need to fill in the last column. This should be checked by the post office employee who accepts letters from you.
Step 3
Check the correctness of the register and hand it over to the postal worker. Now he must check the correctness of the data entered in the document and make the appropriate marks. In addition to your registry, take documents prepared by the post office staff according to the internal postal standards. This document will not be superfluous for your personal accounting of the movement of correspondence. Attach the receipt to the register and file it in a special folder in which outgoing letters are counted.
