Instructions

Step 1

Most often, MS Outlook, although it has other office functions, is used for e-mail correspondence. Therefore, the largest part of the settings falls on the share of e-mail. It is for messages that the rules are set most often.

Step 2

Open MS Outlook on the page of incoming mail messages, enter the main menu, where select the "Service" item. Select the sub-item "Rules Wizard" in it. Click it and follow the prompts from the system. A window will open, the first in which will be a list of services for which it is possible to create a rule. In it, select your account.

Step 3

There may also be antivirus software, firewall, etc. They will be displayed in the window below, and there will be checkboxes against them, one of which you need to check with a checkbox. Otherwise, the rule will apply to all available services.

Step 4

To the right of this window there will be several buttons, of which you only need to "Create", if you have not imported the address book along with the rules and do not want to change the existing ones. Click this button, you will see the following window with two checkboxes, one menu and a rule description field, where the parameters of the action that will be performed with mail in accordance with your requirements are set.

Step 5

In the first checkbox, check the box "Create a rule based on a template", after which a list of available rule templates will appear in the next field. You can set many rules in MS Outlook, and each time you have to read the "Help" or figure it out by trial and error. But there is one main thing that you can practice on - this is "Moving new messages from someone." It is mainly intended for sorting mail into folders. Once you have mastered the skill of creating this type of rules, setting any other types of rules will not be difficult for you.

Step 6

In the template selection field, mark the corresponding line with the mouse. The simplest further solution is to click on the "senders or mailing list" link in the window below. In this case, a window with a list of your contacts will immediately appear in front of you. If the contact is in your address book, select it with the mouse, click on the button with the arrow located between the windows. On the left will be all contacts, on the right - only the selected ones. For each of the contacts, this procedure must be repeated separately.

Step 7

If the sender you are looking for is not in the address book, you can type his email address into the free field above the list of available contacts. Do not forget to save the address and name, as well as anything you see fit to write for this contact. The saved data will appear in your address book under the name that you specified as a request. Now press the OK button again, then "Next" and proceed to setting up the conditions for selecting the destination folder for correspondence coming from the address you specified.

Step 8

Similarly, click on the "name" link to select the destination folder. If you have not yet created a folder for this kind of correspondence, you can create it right in the next window of the program. Here you will be asked to either select the destination folder from the proposed list of available ones, or create a new one. Click "Create", enter the name of the package, if one is not already available, and click OK. By clicking the "Next" button, you can add additional rules for the already created one - make specifications in which cases this rule should be applied.

Step 9

To complete the creation of a new rule, simply click Finish. The new rule will be added to the main list of MS Outlook rules, from where you can also edit them. Practice this simple example first by simply checking the various checkboxes in the menu under the senders or mailing list link and watching the result. Then the same can be done for the "name" field. Experimenting with the settings yourself, do not be afraid to do something wrong: the rule can always be changed or deleted altogether.
