To avoid this, specify in advance in which format it is better to send the document.

Open your mailbox directly on the website of the mail service or run the client program that you usually use. Go to the "Write a letter" menu. Enter the email address of the recipient (s). Set the subject of the letter - it is most logical to use the name of the sent text.
