To communicate with other individuals and legal entities, the organization needs an electronic, and sometimes a regular mailbox. The first one can be set up on your own or third-party server, and the second one at your local post office.

Step 1
If the organization has its own domain name, you can get a mailbox on it by running the sendmail program or similar program on the server. The mail server itself can be located both on the territory of the organization and in the server room of the hosting provider. The program can also be run on the same server that is used to bring the official site to the public. The main thing is that a DNS record is made for it. Instruct the organization's system administrator to create accounts on this server for various people in the organization. Indicate the received e-mail addresses on the official website. This option can be considered the most prestigious (the addresses will be located on the same second-level domain as the site), however, to ensure reliable protection of mailboxes from spam and viruses, the system administrator will have to make a lot of effort.
Step 2
A somewhat less prestigious option for creating an e-mail box is to use the appropriate services of a provider that provides the organization with Internet access (do not confuse it with a hosting provider). Then the addresses will be located on the same second-level domain as the provider's site. Please note that the main disadvantage of this method of receiving mailboxes is their small volume. In the absence of timely cleaning, they quickly overflow, and if they are included in the spammers' lists, their addresses are difficult to change to others.
Step 3
The least prestigious, but also the most convenient way of obtaining e-mail boxes for an organization is to use public mail servers. Their services are provided free of charge, and they provide sufficient quality protection against spam, and sometimes also against viruses. The volume of a box that can be created on such a server can be several gigabytes. And some of these servers (like Gmail) are considered less prestigious than others.
Step 4
Regardless of which server your mailbox is located on, it is important to keep it secure. Set a strong password, and enter a random sequence of characters as an answer to your security question. Change your password periodically.
Step 5
To be able to receive paper correspondence, contact the post office nearest to the organization in order to create a post office box. Having received a set of documents, including a contract form, fill in all the necessary papers. Indicate the postal code and post office box number on the website. Remember to pay for it on time.
